About this policy
This policy explains how Cloud Stays handles personal information when you browse this website, contact us, book an apartment or complete the related guest check-in process. Contact us at mark.dowdle@gmail.com with privacy questions.
Information used for your stay
We collect the name, email address, phone number, stay dates, apartment selection, guest count and messages you provide. Booking records include prices, payment and refund status, reservation identifiers and your acceptance of booking terms. The Hostaway Guest Portal collects the rental agreement and identity information you submit for check-in. Please use that portal for identification documents rather than the website contact form.
Payment information
Card details entered through the website’s secure payment fields are sent directly to Stripe. Our booking system uses payment identifiers and limited card information, such as card brand, last four digits and expiration, to manage authorized payments and holds. Hostaway manages the card attached to your reservation. Do not send full card numbers or security codes through the contact form or email.
Why we use information
We use guest information to answer inquiries, provide quotes, manage reservations, process authorized payments and refunds, arrange check-in, communicate about stays, prevent misuse, resolve disputes and maintain business records.
Services that help operate the website
Cloudflare hosts the website and booking services. Hostaway manages reservations and the Guest Portal. Stripe processes card verification, payments and related payment information. Resend delivers website emails, including contact inquiries sent to our business inbox. These providers receive information needed for their role and handle it under their applicable service and privacy terms. Information may also be disclosed when required by law or needed to address fraud, disputes or security incidents.
Browser storage and third-party content
The booking flow uses cookies and browser session storage to maintain checkout and protect requests. Hosting and payment services may process technical information such as IP addresses, browser information and request details for delivery and security. Apartment maps are embedded from OpenStreetMap, and photos may load from Hostaway-hosted resources; those services receive normal connection information when their content loads. External links lead to services with their own privacy practices.
Optional analytics
With your permission, Google Analytics helps us understand visits to public website pages. It uses analytics cookies and technical information about your browser and device. Our page-view tracking removes query strings and fragments and excludes checkout, administration and private guest links. If you consent and complete a booking, we may also send Google a random transaction reference, apartment identifier, booking value and taxes, linked to your analytics session. Names, contact details, card details and Guest Portal links are not included in that event. Advertising personalization is disabled. You can allow or decline analytics, or change your choice using Cookie preferences on public pages. Declining does not prevent booking.
Retention and security
Reservation, payment, inquiry and agreement records may remain in our systems and service providers’ systems for booking administration, accounting, dispute resolution and legal obligations. Different records have different retention needs. We use encrypted website connections and access controls to help protect information, but no system can guarantee absolute security.
Your choices and requests
You can contact mark.dowdle@gmail.com to ask about information we hold or request access, correction or deletion. We may need to verify your identity before acting. Some records may need to be retained for an active stay, financial records, disputes or legal obligations. We will handle requests according to applicable law. Disabling browser storage can prevent checkout from working correctly.
